Registration Procedures -
Please read the following information carefully.
How do I register for an event?
-
Select the program event in which you or your troop
wishes to participate.
-
The troop leader completes the troop registration form (page 28
of the Santiam Signal or click
here to
print a copy of the registration form).
-
To prevent delay in processing the registration, be
sure to include the appropriate fee. No registration will be accepted without the event fee. Event fees can be charged to a credit card, paid
with checks, cash and/or program certificates. Please do not send cash
in the mail.
When do I register?
-
There are four opening registration dates for program
events.***
|
For events held: |
Opening Registration Date: |
|
October through December |
Sept. 1, 2007 |
|
January through February
|
Dec. 1, 2007 |
|
March through April |
Feb. 1, 2008 |
|
May through June |
March 1, 2008 |
-
Due to the popularity of many program events, we suggest you register on the
opening registration date. If the opening date falls on a weekend, the
opening day will be the following Monday.
Registrations received more than one week prior to the opening registration
date will be returned.
Event registration will close when capacity is reached OR two weeks prior to
the event (except early October, OMSI and Zoo events),
whichever comes first.
NO LATE REGISTRATIONS
WILL BE ACCEPTED AT ANY TIME. THIS IS TO PROVIDE THE OFFICE MANAGER, EVENT
COORDINATOR AND VENDOR ENOUGH TIME TO PREPARE
FOR THE EVENT.
The
registration period is noted in each program description.
***Due to their registration deadlines, OMSI events will open
and close early; see event description for details.
Where do I send the registration form when it is completed?
Mail completed registration form and fees to:
Girl Scouts of Santiam Council
1922 McGilchrist St. SE
Salem, Oregon 97302
OR
You can e-mail registrations with credit card payment to:
(e-mailed registrations will not be processed until
registration fees have arrived at the council service center)
Can I "walk-in" my registration?
Registrations may be mailed or brought to the council service
center.
What if registration exceeds capacity on
the opening day of registration?
If registrations exceed capacity on the opening registration
day for any event, a random selection will be made from all registrations
which are in the council service center by 5:00 p.m. of the opening
registration day. A waiting list will be maintained for all events which
have reached capacity.
What if I have special needs?
We
will do our best to accommodate girls with special needs. Please indicate
those needs on the registration form.
How do I know if my registration for an event is accepted?
A
confirmation or "over-capacity" notice will be mailed or e-mailed to the
troop leader or accompanying adult within two weeks of receipt of the
registration.
A schedule of activities and a map will be mailed or e-mailed two weeks
prior to the event.
What happens if I cannot attend the event? Can I get a refund?
All refund requests must be received IN WRITING, two weeks prior to the
event. Exceptions: Due to their policies, once registered for the ZooZnooZe
or OMSI Camp-In, you will NOT be able to receive a refund.
Adult Supervision Requirements
A
minimum of two adults must accompany each troop to a troop event. Please
consult the guidelines in
Safety-Wise
for exact ratio information. To provide a diverse experience for girls, your
troop may be asked to divide up. Adults who accompany troops may be asked to
provide supervision for a group of girls who may not be the girls with whom
they arrived. Be sure all adults in your group are aware that this may
happen.
Permission Slips/Notice of Intents
Each troop is responsible for providing its own permission slips. Each girl
must be a registered Girl Scout with a permission slip. Each troop must also
submit its “Notice of Intent” form to its service unit manager prior
to the event.
Time
The beginning time for each event listed in this guide is the
actual beginning time.
Registration/check-in on the day of the event will begin
one-half hour prior
to
the beginning of the event. Events will begin promptly at the listed start
time.
Accompanying Adults
Unless otherwise noted, adults accompanying Daisy, Brownie
and Junior Girl Scout troops do not need to pay the registration fee. Be
sure that the adults accompanying the girls have the appropriate training.
For more information, see pages 28-30 of the 2007-2008 Santiam Signal that was
distributed to troops in the Fall of 2007.
